Date Duration Guide 2026: Days Between Dates and Planning

Counting Days Between Dates
Conference: March 5 to March 12: 12 - 5 = 7 days (nights for hotels: 7).
Project: June 1 to September 30, 2026: June (29) + July (31) + Aug (31) + Sept (30) = 121 days (~17.3 weeks).
Convention: exclude the start date, include the end. Hotel nights = checkout minus checkin.
The inclusive/exclusive trap costs real money. March 5 to March 12 is 7 days by subtraction (7 hotel nights) but 8 calendar days inclusive — contractors billing "8 days on site" versus clients paying for 7 have argued over exactly this. Car rentals, PTO balances, and project billing all need the convention stated upfront: "nights," "business days," or "calendar days inclusive." A 90-day consulting engagement at $2,000/day is $180,000 exclusive of the start date but $182,000 inclusive — define it in the SOW or pay for the ambiguity later.
Agile teams live inside these counts. A "2-week sprint" is 14 calendar days but only 10 working days, and after planning, review, and retro ceremonies (~1.5 days), true build capacity is ~8.5 developer-days. Sprint velocity math breaks when teams plan against 14 days of capacity — which is why velocity is measured in story points, not days. For deadline math, work backward in business days: a 30-business-day deliverable starting Monday, October 19, 2026 lands around November 30, not "30 days later" on November 18.
Business Days Calculation
30 calendar days typically = 21-22 business days.
Contract example: "30 business days from June 1" - skipping weekends and July 4th: lands around July 14.
US federal holidays 2026 to exclude: Jan 1, Jan 19, Feb 16, May 25, Jun 19, Jul 4 (observed 3rd), Sep 7, Oct 12, Nov 11, Nov 26, Dec 25.
The 5-day week isn't universal, and SLAs cross the seams. Much of the Middle East runs Sunday-Thursday (Friday-Saturday weekend), so a "5 business day" SLA between New York and Dubai shares only 4 overlapping days — a Friday deadline in New York is already the weekend in Dubai. Israel, Saudi Arabia, and parts of Southeast Asia differ further. For cross-border contracts, define business days explicitly ("Monday-Friday excluding US federal and UAE public holidays") or watch a 10-day SLA silently become 14.
Payment terms inherit the same ambiguity. "NET 30" usually means 30 calendar days, but some contracts specify business days — 30 business days from October 14, 2026 (skipping weekends plus Veterans Day Nov 11 and Thanksgiving Nov 26-27) lands around November 27, a full two weeks later than 30 calendar days (November 13). On a $100K invoice at 8% cost of capital, those 14 days cost ~$300 in carrying cost. Courts treat the distinction as material — spell it out in the contract.
Adding and Subtracting Days
- 90 days from Oct 14, 2026: Oct (17) + Nov (30) + Dec (31) = 78, need 12 more: Jan 12, 2027.
- 45 days before a deadline: Count backward the same way.
- Pregnancy: Due date = LMP + 280 days (40 weeks).
- Warranties: "1 year from purchase" - same calendar date next year.
Naegele's rule is the most-used date math in medicine: due date = first day of last menstrual period + 1 year − 3 months + 7 days. LMP January 1, 2026 → January 1, 2027 → minus 3 months = October 1, 2026 → plus 7 days = October 8, 2026 (280 days, 40 weeks). Only ~5% deliver on the date, but every prenatal milestone hangs off this one calculation — viability at 24 weeks (June 18), full term at 39 weeks (September 30). First-trimester ultrasound dating refines it to ±5 days when LMP is uncertain.
Employment trial math is equally exact. A 90-day probation starting October 14, 2026 ends January 12, 2027 (17 + 30 + 31 + 12 = 90) — schedule the review for January 11, not "mid-January." Lease and notice periods work the same: 60 days' notice given October 14 means a December 13 move-out, with the lease terms deciding whether the notice day itself counts. When the count crosses a year boundary, verify February's length — 2027 isn't a leap year, but 2028 is, and one wrong February breaks every downstream date.
Project Planning With Durations
- Break into phases with day counts, not just dates.
- Add buffer: 20% for known work, 50% for uncertain.
- Identify the critical path - the longest chain determines the end date.
- Count business days for work estimates; calendar days for elapsed time.
- Anchor milestones to fixed dates (launches, holidays, fiscal year).
Critical path in miniature: tasks A (5 days) → B (10 days) → C (3 days), with D (8 days) running parallel to B. The chain A-B-C is 18 days; D's 8 days don't extend anything — it carries 2 days of float. Crash the project and you only fund B: spending $5K to cut D to 4 days buys zero schedule gain, while $5K cutting B to 7 days saves 3 days. Most "we're behind" panic targets the wrong task; the critical path tells you which delay actually moves the end date, and it's rarely the one people are shouting about.
Buffer with numbers, not vibes. A 100-day build gets 20% buffer (20 days) for well-understood work, 50% (50 days) for novel work — applied at the project level, never per task, because per-task padding gets consumed by Parkinson's law. Monte Carlo sharpens it further: with three-point estimates (optimistic/likely/pessimistic) across 20 tasks, simulation typically shows the "likely" sum has only ~50% chance of hitting. You need the 80th-percentile date for a committable deadline — usually 15-25% beyond the likely total.
Frequently Asked Questions
Subtract start from end. Exclude the start date, include the end date. Account for month lengths and leap years.
Monday-Friday excluding public holidays. 30 calendar days is roughly 21-22 business days.
Count forward through month lengths: from Oct 14, 2026, 90 days lands on Jan 12, 2027.
Nights = checkout date minus checkin date. Mar 5 to Mar 12 = 7 nights (8 calendar days inclusive).
Calendar days unless specified as 'business days.' Ambiguity causes disputes - always specify in contracts.
